STANDARD OPERATING PROCEDURE (OFFICE)

     
 Purpose:

  • To guarantee that all resident student services are coordinated so that they receive the necessary care from service providers in the provost's office.

  • Responding to students' needs and expectations and working towards their fulfilment                                              

  • Scope:

  •   It applies to all resident students who come to the provost office for reasons such as continuation, fee deposit, accommodation, clearance, and other file work. It also includes tasks connected to letter receiving and dispatch within the university administration.                                                                                                                            

  • Responsibility:

  • The Section Officer /Assistant (Admin) is in charge of overall supervision of office operations, general communication, and dealing with resident concern.

  • LDC/Assistant (Accounts) is in charge of all accounting activities, including cheque preparation and budget record maintenance (Budgeted & Non-Budgeted).

  • General dealing assistants are in charge of establishment work, stock register maintenance, authorities' files, and extra-curricular activity files, among other things.

  • The ledger keeper is in charge of keeping track of the students’ ledgers.

  • Students dealing with Assistant are in charge of the admission procedure, allocation, and distribution of accommodation slips to students, as well as maintaining a list of students.                                                                                 

  • Procedure:

  • Distribution of work has been done according to designation & skill                                                                   

  •  Records: 1. Accounts register 2.Record of students 3. Fee register/Ledger 4. Dak receipt and dispatch Register/file

5. Attendance register  


STANDARD OPERATING PROCEDURE (STUDENTS ACCOMMODATION)

Purpose:

  • Ensure that suitable housing services are arranged for students so that they receive the necessary response from service providers in the hostel.

  • Responding to students' needs and expectations and ensuring their fulfilment.                                                         

  •  Scope:

  • It applies to all students who are provided housing in our hostel throughout their study time.                  

  • Responsibility:

  • The accommodation warden is in charge of ensuring that the accommodation procedure runs well.

  • The Dealing Assistant is in charge of giving accommodation slips to students as well as keeping track of student information and room availability.

  • The caretaker is in charge of supplying hostel supplies to students.                                                                   

  • Procedure:

  • After admission student visit allotted Hall (By DSW Office) of residence for filling up personal file.

  • Proper entries in Hall Register/Ledger have been made.

  • Allotment of Hostel and room has been done according to seniority as per CAC (Central Allotment Committee) rules.

  • Once room is allotted resident become bonafide member of the Hall and he became eligible for the use of all the student facility provided by the Hall.                                                                                                       

  • Problem-solving:

  • If there is any conflict among roommates, re-allotment is performed.

  • Re-allotment may also be considered if there are any difficulties with the physical condition of the rooms.        

  • Records:

  • Hostel wise allotment Register


STANDARD OPERATING PROCEDURE (DINING HALL)

Purpose:.

  • To guarantee that all food-related services for residents are coordinated so that they receive the necessary attention and responsiveness from dining hall employees.

  • To provide excellent and sanitary meals in accordance with the inhabitants' needs and expectations.                      

  •  Scope:

  • It applies to residents of Aftab Hall and its annexe who require dining hall access.                             

  •   Responsibilities:

  • The Dining Hall-in-Charge (Warden) is in charge of general monitoring of food quality and cleanliness, timely delivery of meals, menu creation, and ration-related concerns.

  • Munshies is in charge of collecting mess charges, keeping mess records, keeping track of food preparation attendance, keeping track of dining hall staff tasks, and general supervision.

  • Cooks are in charge of estimating the amount of raw materials needed for everyday cooking and preparing tasty and safe food products.

  • Kitchen workers are in charge of washing, chopping, and preparing raw food products, as well as assisting the chef.

  • Kitchen bearers are in charge of supplying meals to residents of the Hall on time and in a sanitary way.

  • Sweepers are in charge of keeping the kitchen, serving area, and dining hall clean.                                        

  •  Procedure:

  • Munshies verify resident attendance on a regular basis to estimate the amount of food to be prepared. The crew prepares and serves three meals every day. The timing of Dining Halls is as follows:

  • Cooks guarantee that food is prepared and delivered to students on time.

  • Quality and hygiene are maintained at all times.

  • Staff has been instructed on covid-related measures.
