WORK ASSIGNMENT, SERVICE BOOK & PENSION SECTION


In supersession of all office memos issued from time to time by the then J.R./DR/A.R. (SB&PS), in respect of duties/responsibilities of the staff working in the Service Book & Pension Section, following duties are hereby assigned as mentioned against their names with immediate effect till further orders:

8.     To ensure preparation of retirement list of each calendar year 

9.     To ensure the process of deal with all cases of TPS (Transfer of Past Service) and CPS (Counting of Past Service) including deputation cases in association with Mr. Shariful Hasan.

10.  To check the cases of post retiral spouse, handicapped / disabled children of retirees / deceased & unmarried / widowed / divorced daughters

11.  Any other work assigned from time to time by the Assistant Registrar.

Mr. Danish Akbar Kazmi

1.     Public dealing relating to office work.

2.     General Supervision of the work and the staff of the section.

3.     To check the entries made in the service book of university employee and to put signature wherever necessary.

4.     To arrange the Audit of the section as and when necessary by the AGUP etc. in association with S.O. (Admin.)

5.     To ensure completion of Service Books of university employees in all respect by the concerned Dealing Assistants from time to time under his supervision and submit the same to the Assistant Registrar for signature.

6.     To get check from time to time & ensure pending receipt of verification etc. of documents of date of birth from concerned Board/ Authority.

7.   To check all calculation, approval & orders, for revision of pension cases of retirees / deceased due to any reason including the cases of post retiral spouse, handicapped / disabled children of retirees / deceased & unmarried / widowed / divorced daughters. 

8.     To keep record of RTI Application / Appeals and to work as CPIO in the absence of CPIO.

9.     To ensure preparation of retirement list of each calendar year  

10.  Any other work assigned from time to time by the Assistant Registrar.

Mrs. Huma Basar

Assistant (Admin.)

1.   All work relating to the grant of pensionary benefits of all category of retirees / deceased employees of fresh cases.

2.     To obtain report from D.E. / Leave Section and regarding option of GPF / CPF of the retirees / deceased employee from P.F. Section after receipt of pension set.

3.     To check and put up the office memos / approval for grant of pensionary benefits of the retirees / deceased.

4.     Issuance of reminders if the pension set is not received in time from the    retiring employees.

5.    To send the pension set to the claimant through Head of the Department soon after receiving the information regarding university employees dying in harness, for granting pensionary benefits.

6.   Any other work assigned from time to time by the Assistant Registrar / Section Officers.

1.    To deal with the cases of all calculations approval & orders for revision of pension cases due to any reason of retirees / deceased including enhanced family pension etc.

2.    On receipt of applications from retirees / pensioners regarding revision of pension and for other purposes, to demand the pension file from the pension section of Finance Office and process for needful.

3.    To deal with the Court cases relating to the pensioners etc. relating to this     section.

4.    To deal with the cases of handicapped / disabled pension & post retiral spouses and the cases for sanction of family pension to the unmarried / widowed / divorced daughters in association with both section officers

5.   To deal with the cases for sanction of Voluntary retirement of the teaching category.

6.     To deal with all cases of TPS (Transfer of Past Service) and CPS (Counting of Past Service) alongwith the cases who proceed on deputation of university employees S.O. (Admin.) in association with Mr. M. Shafiq Khan.

7.     Any other work assigned from time to time by the Assistant Registrar / Section Officers.

Mr. Shariful Hasan

UDC (Admin.)

1.     To prepare Service Book of new appointees of all categories soon after receipt of Service Book Proforma / Detail of Family and Nomination forms.

2.     The Nomination forms of DCR Gratuity after making entries in the service book are to be handed over to Mrs. Gulnaz Prveen, LDC (Admin.) for further processing.

3.  To get verified the date of birth certificate of all the category of university employees from the concerned Board / School, at the time of their confirmation soon after receipt of their application / files from Administration (Teaching & Non-teaching) Section and disposal of their files to the concerned section after completion of their service book and required formalities of this section.

4.     Any  other  work  assigned from time to time by the Assistant Registrar / Section Officers.

7.   

Mrs. Gulnaz Parveen

LDC (Admin.)

1.    Disposal of the files / letters regarding detail of Family & nomination of the   gratuity of the deceased employees on demand from different sections/offices.

2.    To arrange distribution of all type of Office Memos for grant of pensionary      benefits.

3.     To maintain all guard files i.e. Pension OMs/General Circulars & Circular / O.M. issued from the section.

4.     To get verified the date of birth certificate in case of temporary appointment and appointment on compassionate ground in all categories and disposal of the same to the concerned section i.e. Teaching & Non-Teaching Section.

5.     To issue the service books of retired / deceased employee as and when needed for any reason like revision of pension etc.

6.     To obtain PPO Nos. of retired / deceased employee from the pension section of the Finance Office after issuing Office Memos by this section and record on their service books.

7.     To send the nomination forms of PF / NPS and CGIS to the concerned sections after receiving from the dealing assistants and retain the nomination form of DCR Gratuity and to get countersign by the Registrar and also get entered in computer by Mr. Mohammad Farhan Veg then to paste in the service book of the concerned employees under the supervision of Section Officer (Admin.) (SB&PS).  

8.     Any other work assigned from time to time by the Assistant Registrar / Section Officers.


The following dealing assistants have been allotted the Departments/Offices/Institutions as noted against their names and they will perform their duties as per Instructions as given below with immediate effect till further orders:

Nizami Centre for Quranic Studies / Urdu Academy / Lands & Gardens / Publication Division / Sir Syed Academy / University Health Office / University Guest House / and put up the same to the Assistant Registrar from time to time for signature through Section Officer (A/Cs). Disposal of forged. Typing Work and processing to deal with the forged cases relating to his counter as and when required in association with both section officers. Any other work assigned from time to time by the Assistant Registrar / Section Officers.

INSTRUCTIONS for the Dealing Assistants S.No. 8 to 11

1.     To ensure the completion of the service book of employees retiring during current calendar year atleast three    months before the date of retirement / soon after in case of death of the employee.

2.     To check all the Service Book whether the revised Service Book Proforma, Details of Family, Nomination forms, Aadhar Card, and birth certificate are available / pasted in the service book. In case of non availability of the same the employee concerned may be asked by sending a letter to submit the required Information / Forms.

3.     To hand over all the Nomination Forms after making entries in the service book to Mrs. Gulnaz Parveen, LDC (Admin.) for further processing.

4.     To initiate the process of verification of valid date of birth certificate from the concerned Board / School / Institution.

5.     To issue service book to the different Sections of the Registrar’s Office like Accounts Section / Cadre Review / D.E. Section as and when they desire and carefully rearrange back when they return.

6.     To make and update the entries in the Service Book soon after receiving of the Office Memos received from time to time viz joining reports / Appointments / Promotions / Confirmation / Suspension / Termination / Transfers Orders / Extra Ordinary Leave / Leave without pay / Study Leave / Fixation of Pay etc and put up before Section Officer (A/Cs) (SB&PS) for signature.

7.     To deal with all type of complaints made against the university employees from different corners.

8.     To check & certify the form of CE category for admission of children of university employees / retirees / deceased. Any other work assigned by the Assistant Registrar / Section Officers from time to time.

1.     All type of Receipt and Despatch of the section.

2.     To maintain up-to-date record of movement register of Pension / Family Pension / Revision of Pension etc.

3.     Any other work assigned from time to time by the Assistant Registrar / Section Officers.

Mr. Farhan Veg

D/W (Clerical)

1.     Typing work of the Section including the cases for revision of pension.

2.     Sending Attendance of the Section including Daily Wagers carefully

3.     To keep up-to-date record of Service Books of University employees.

4.     To make entries of the nomination of DCR Gratuity in the database.

5.     To upload day-to-day movement of pension files on the website under the page of our section.

6.     To prepare list of retirees during each calendar year in collaboration with both the Section Officer (SB & PS).

7.     Any other work assigned from time to time by the Assistant Registrar / Section Officers.

14. 

Mr. Mohd. Adil

D/W (Clerical)

1.   Typing work of the section relating to revision of pension cases in collaboration

      with Mr. Mohammad Farhan Veg and as assigned by the SO (SB&PS) / A.R.

2.   All miscellaneous work of the office relating for keeping the record of old

     Service Books etc.

3.   To maintain the record of stationary / stock Register in collaboration with Section        Officer (Admin.).

4.   To issue information from old records to the applications relating to NRC etc.

5.    To maintain the Record of C.P.I.O. relating to R.T.I. applications etc. 

6.    Any other work assigned from time to time by the Assistant Registrar / Section   Officers.

Note:

  1. All dealing Assistants will dispose off the papers marked to them within one week or as per exigency of work.
  2. The pension case of the employees retired employees / expired employee should be finalized as soon as possible.
  3. Personal file from Record Section will be requisitioned by the each concerned Dealing Assistant through higher officer as and when required.
