Standard Operating Procedure (SOP)
Office of the CPDUT (Urdu Academy)
Aligarh Muslim University, Aligarh
Ø To collect the keys by the deputed staff from
the Director`s residence to open the Academy.
Ø To clean the Classrooms,
Chambers of the Teachers, and Office of the Academy. Switch-on minimal lights
if required.
Ø The office of the
Academy is devoted to provide a favourable atmosphere and all required support
to the academician, research scholars, students and non-teaching staff to
ensure the smooth functioning of the Academy.
Ø The office will
overall supervise all administrative works under the direction of the Director.
It monitors all accounts, purchase, correspondence, and other activities of the
Academy, and maintenance the records of the office and staff.
Ø The office ensure
maintenance of the classrooms, library, and office including chambers. It
conducts physical verification of all Academy’s assets and maintain the stock
register, including the computers, printers and so on. The office also helps
during the conduction of conferences, refresher courses, orientation programmes
and workshops for smooth functioning, besides helping to set ICT for various
activities.
Ø The office is also
responsible for the updating of the Academy’s website under the guidance of the
Director to maintain records and deliver all internal mails of official
correspondence.
Display the notice on
the Notice Board related to conferences, refresher courses, Orientation programme, workshops and
exam, other important information.
Ø Display the leave of
the faculty on the notice board
Ø Maintain receipt and
dispatch register entries.
Ø Finalize and dispatch
letter assign by the Director a day before in the second half.
Ø Sort the letter
received in the second half of the previous working day.
Ø Routine work that
includes preparing the replies of arrived letters and DFAs presented to the Director
in the second half of the day.

Procedure
for Selection of books
The selection
of the books is based on the
Ø Suggestions/requests
received from the faculty members.
Ø Suggestions/requests
received from the students,
Ø The Director may also
recommend/select some books based on book reference/Textbooks recommended
in the different syllabi of the courses.
Ø Books selected by
Faculty Members, Director and other Library Staff from Book Exhibitions
and Book Fairs organized/attended from time to time.
Funds
Ø The fund of Library is
utilized according to the need and requirements of the users with emphasis
on overall development of library collection.
Ø The fund of Library,
for books is utilized through University Library. For this purpose, the
list of recommended books along with the mentioning of the head of account is
sent to the University Librarian for procurement and the University
Librarian places the orders subject to availability of funds in the head
of account mentioned in the list following the standard procedures/norms.
Accessioning
Ø The book(s) are
accessioned in the M.A. Accession register as well as Library, Urdu Academy,
Accession register. The Accession Register is the basic record in the library
about each document forming part of its collection. Entry for each book is made
in the Accession register which has all the relevant details of a book .
Procedure
for Issue of a Book
Ø The borrower selects a
book for his/her choice from the OPAC (Online Public Access Catalogue) of the
Library and note down the Call no. of a book on a slip. The borrower first
deposits his/her requisition slips to staff of the counter, if the book is
available then his/ her is demanded to present their borrower card at the issue
counter. The Library staff after examining he borrower card and is validity
puts the due date on the date slip of the book, and then book is handed over to
the borrower.
Procedure
for Return of a Book
Ø All the books issue
from the library are returned at the Circulation Section of the Library
from 8.00 A.M. to 4.00 P.M. The user presents the book to the staff
available at the return counter of the Circulation Section, he/she checks the
Accession no. and date of issue and then take it back.
Procedure
for fine/ penalty
Ø All books are
issued to the students on borrower card
for 7 days. A sum of a rupee 1/-per day charged from those who do not return
the books within the time specified.
Ø The assessment of book
cost is made by the M.A. Library from (Teaching & Non-teaching) those who
do not return the books within specified time
Rules
for Book Bank
Ø Book Bank is entirely
for the benefit of the students of the University, A.M.U. Aligarh.
As well as other student of the country
Ø Book(s) will be issued
strictly on showing the valid current identity card and the award list of the
previous examination.
Ø All books shall be
returned within a week of the examination is over. In case the books are not
returned in time, a fine of a rupee per day per volume shall be charged till
book is /are returned..
Ø If books have been
marked, defaced, spoiled or damaged, the
director or
his nominee shall at his discretion will either impose a fine or charge the
cost of books. In the later case, the book(s) shall be returned to the member.
Ø The responsibility for the proper custody of
the book will be of the member concerned.
